The Gmail & Yahoo bulk sender rules: a compliance checklist
In force since February 2024, tightened since. If you send 5,000+ emails a day to Gmail, these are mandatory — but every sender benefits from meeting them.
The checklist
1. SPF and DKIM on your sending domain. Both, not either. Mail failing both is rejected at Gmail's front door. Verify: run a domain check — takes ten seconds.
2. A DMARC record — at minimum p=none. Bulk senders must publish DMARC, and your From: domain must align with the domain that passes SPF or DKIM. Alignment is what stops "friendly-from" spoofing.
3. One-click unsubscribe (RFC 8058). Marketing mail needs List-Unsubscribe and List-Unsubscribe-Post headers, and you must honor opt-outs within two days. Paste your headers into our header analyzer to confirm they're present.
4. Complaint rate under 0.3% — ideally under 0.1%. Track it in Google Postmaster Tools. Above 0.3%, filtering happens no matter how perfect your DNS is.
5. Valid forward and reverse DNS. Your sending IP must resolve to a hostname that resolves back (PTR record). Your ESP normally handles this — worth confirming if you self-host.
6. Don't impersonate Gmail. Sending bulk mail with an @gmail.com From: address now fails DMARC (Gmail publishes p=quarantine). Send from your own domain.
What happens if you ignore this
It's not a warning system. Non-compliant mail is temp-failed first (delayed delivery, then bounces with policy error codes), then increasingly rejected. Senders typically notice as a slow bleed: open rates drift down, then a campaign one day simply doesn't arrive.
